Controlled document release for batch evidence
How version, approval and distribution controls prevent draft or superseded records from supporting procurement decisions.
A technically correct record can still mislead if its release status is unclear. Draft, superseded and approved documents should be distinguishable so that a procurement decision is not based on an uncontrolled copy.
Core controls include a unique identifier, version or revision state, approval record, effective date and a defined owner. Corrections should preserve the history rather than silently replacing earlier information.
Distribution matters as well. When an approved record changes, affected reviewers should be able to identify the current version and understand whether the change alters a previous qualification or release decision.
